You will be heading up a small team of people. Responsibilities include, but are not limited to:

  • Reporting to the UFZA Board on the progress of the conference during the monthly UFZA meetings.
  • Selecting, training, and working with the Committee Coordinators
  • Arriving at the conference at 6:30 am for set up and Orientation
  • You will be the go to person for all Conference questions before and during the conference

Requirements:

  • A 1 hour training with the former Conference Chairman
  • A sense of humor

  • A short nap when all is said and done
  • Provide a 1-hour training for the following year’s Conference Chairman
  • Because this position would require more work than all other positions, you will receive two compensation packages.
  • This position, when done right, requires very little work the day of the conference.

COMMITTEE CHAIRMAN Compensation Package

The Room Host Supervisor oversees and ensures that Room Host Volunteers are trained and that the speakers are taken care of the day of the conference.

You will be heading up a small team of people. Responsibilities include, but are not limited to:

  • Training and working with room host volunteers (includes training)
  • Training (possibly via email) occurs prior to the conference.
  • Checking in and being in communication with the room host volunteers
  • Arriving at the conference at 7:00 am to facilitate room host responsibilities
  • Gathering all necessary equipment after the last class ends and obtaining feedback from the room hosts

Requirements:

  • A 1-hour training with the current Front Line Coordinator
  • Flexibility and thinking quick on your feet
  • A knowledge of the classes, the speakers and class locations
  • Leadership skills
  • Organizational skills
  • A short nap when all is said and done
  • You would likely need to stay after the conference to wrap things up.

COORDINATOR ASSISTANT Compensation Package

ALL OF THE VOLUNTEER POSITIONS APPLY TO THE ENTIRE DURATION OF THE CONFERENCE 

We are in need of 10 (8 room hosts and 2 alternates) room host volunteers.

You will be working with your assigned speaker as his personal assistant in many ways.

Responsibilities include, but are not limited to:

  • Attend a brief training (possibly via email or the morning of) before the conference
  • Arriving at the conference at 7:30 am
  • There are 1-2 room hosts per room.  The primary room host will be responsible for introducing the speaker at the beginning of each session (script supplied) and the other will be responsible for helping the speaker operate the audio equipment.  Both will make sure the speaker has any supplies needed (i.e. water, etc), and monitoring the noise level in the room so as not to disrupt the audio recording.
  • Also, you will be monitoring the classroom size and may have to turn people away from the class if it becomes full.

Requirements:

  • Ability to briefly speak publicly

  • Willingness to stay in the same room for all the classes. You may be able to request which speaker you are paired with.

  • Supervising Front Door/Registration Volunteers during the conference
  • Arriving at the conference at 7:00 am to facilitate Front Door/Registration responsibilities
  • Gathering all material after the last class and obtaining feedback from the Front Line/Registration volunteers

  • A 1-hour training with the Front Line Coordinator

COORDINATOR ASSISTANT Compensation Package

The Registration Volunteers assists in Checking in Conference Attendees, providing them with a lanyard/name badge, program, and tote bag, and a Conference Commemorative Book of they purchased one.

Responsibilities include, but are not limited to:

  • Attend a brief training (possibly via email before the conference
  • Arriving at the conference at 7:15 am for set-up and Orientation
  • Manning the entrance from 7:45 until possibly 9:45 am to check in attendees and answer their simple FAQ’s.
  • Taking turns with other Registration Volunteers throughout the duration of the conference to man the Registration Desk

  • Become familiar with the event layout and classes.

All conference committee volunteers receive:

COORDINATOR ASSISTANT Compensation Package

Responsibilities include, but are not limited to:

  • Contact Training Program owners to invite them to present at the Conference
  • Contact other Professionals in relevant fields of expertise to invite them to present at the Conference
  • Reviewing Speaker and Round Table submissions with the Conference Chairman to select Presenters for the Conference
  • Coordinate with the Website and Program Coordinators to ensure that all necessary Speaker and Round Table Presenter information is available
  • Selecting, training, and working with the Round Table Assistant
  • Over-see Round Table Event including Table Set-Up
  • Arriving at the conference at 6:30 am for set-up and Orientation
  • You will be the go to person for all Speaker questions before and during the conference

  • Arriving at the Round Table Event Room 30 minutes before the event to assist with Set-up

Requirements:

  • A 30-minute Orientation with the Speaker Coordinator prior to the Conference

  • A knowledge of the Round Table topics, the speakers, table lay-out, and presentation location
  • You will likely need to stay after the Round Table Event to wrap things up.

COORDINATOR ASSISTANT Compensation Package

[/vc_column_text][/vc_accordion_tab][vc_accordion_tab title=”Venue and Accommodations Coordinator“][vc_column_text]The Venue & Accommodations Coordinator will assist the Conference Chairman in locating and selecting an appropriate venue, assist in all aspects related to the venue including reviewing the venue agreement and making suggestions for modification, menu selection, and guest accommodations.  Assist Conference Chairman in planning the Kick-Off Reception.  Coordinate and provide assistance to conference attendees who are interested in sharing a room with another conference attendee at the selected hotel.

Responsibilities include, but are not limited to:

  • Assist in contract negations with the venue representative
  • Assist in coordinating room and Vendor Hall lay-out with the venue representative
  • Assist in menu selection
  • Assist in all aspects of Kick-Off Reception planning
  • Coordinate with the venue representative to ensure proper room set-up
  • Coordinate room sharing with Conference attendees who are interested in sharing accommodations during the event.
  • Arriving at the conference at 6:30 am for set-up and Orientation
  • You will be the go to person for all venue questions before and during the conference

Responsibilities include, but are not limited to:

  • Arriving at the conference at 6:30 am for set-up and Orientation
  • You will be the go-to person for all print material questions before and during the conference.

Requirements:

[/vc_column_text][/vc_accordion_tab][vc_accordion_tab title=”Marketing and Social Media Coordinator“][vc_column_text]The Marketing & Social Media Coordinator will be responsible for coordinating with the Conference Chairman to develop a comprehensive multi-media marketing campaign to promote the Foot Zone Conference while working on a limited budget.  You are responsible for Social Media Spotlights on the Foot Zone Conference Facebook page; all other Social Media responsibilities; preparing print and audio/visual recorded promotions; and providing press releases to various news outlets to promote the Foot Zone Conference.  You will coordinate with the Program & Publications Coordinator and the Website Coordinator to ensure that marketing material is available for the website, Social Media, and Conference publications.

Responsibilities include, but are not limited to:

  • Arriving at the conference at 6:30 am for set-up and Orientation
  • You will be the go-to person for all marketing and promotional questions before and during the conference as well as all publicity questions before the conference.
  • Prepare website announcements to build excitement for the Conference
  • Coordinate with the Speaker Coordinator, Vendor Coordinator, and Sponsor Coordinator to prepare Spotlights to be used for marketing purposes
  • Coordinate the preparation of all other marketing material necessary to promote the Foot Zone Conference

[/vc_column_text][/vc_accordion_tab][vc_accordion_tab title=”Vendor Coordinator“][vc_column_text]The Conference Vendor Coordinator oversees the Vendor Hall responsibilities of the conference.  Recruits vendors for the Conference by calling and emailing potential vendors.  Reviews the Vendor Agreement with vendors to ensure understanding.  Coordinates the invoicing of vendors with the Conference Chairman.  Ensures that all vendor information is gathered from the Vendor and coordinates with the Website Coordinator, Marketing Coordinator, and Program Coordinator to ensure that Vendor information is complete and accurate and that all requested add-ons are made available to the Vendor.  Coordinates with the Speaker and Sponsor Coordinators to ensure that Speaker & Sponsor benefits and compensations are met and that Speakers and Sponsors have priority in booth placement.

Responsibilities include, but are not limited to:

  • Arriving at the conference at 6:30 AM for set up and Orientation
  • Overseeing Vendor registration
  • Assuring that vendor tables are set up according to the Hall layout.
  • Vendor assignments
  • Overseeing Vendor invoicing & payments
  • Overseeing vendor set-up the day of the conference

  • Training and working with Media Specialists and Photographer (includes training)
  • Training (possibly via email) occurs prior to the conference.
  • Checking in and being in communication with the media specialists and photographer
  • Arriving at the conference at 6:30 AM for set-up and Orientation and to facilitate recording responsibilities
  • Gathering all necessary equipment after the last class ends and obtaining feedback from the media specialists and photographer.
  • Compiling and editing all conference media as necessary to provide a professional product
  • Getting the original and edited copies of the digital recordings to the Foot Zone Conference Committee by May 25, 2016

Requirements:

  • A 1-hour training with the current Conference Chairman and previous Media Committee Coordinator
  • Flexibility and thinking quick on your feet
  • A knowledge of the classes, the speakers, and class locations
  • A knowledge of audio, video, and editing equipment
  • Ability to edit recordings for download distribution
  • A sense of humor
  • Provide a 1-hour training, together with the Conference Chairman, for the following year’s Media Committee Coordinator
  • Because this position would require more work than other Committee Coordinator positions, you will also receive a portion of the proceeds from the sale of the video downloads for up to 9 months after the conference.

MEDIA COMMITTEE COORDINATOR Compensation Package

The Committee Chairman and All Committee Coordinators receive:

  • Taking approximately 150-200 shots of the Kick-Off Reception and Conference
  • Getting the original and edited copies of the digital photos to the Foot Zone Conference Committee by May 25, 2016

  • You know – the ability to take decent photos!
  • A knowledge of the classes, the speakers, and class locations
  • Because this position would require more work than other Coordinator Assistant positions, you will receive two Coordinator Assistant compensation packages.

  • Getting the original copies of the digital recordings to the Media Coordinator by May 11, 2016

  • Willingness to stay in the same room for all the classes.
